How a repair actually runs

The honest version of this is more useful than a promise of same-day fixes, because nobody in this industry stocks every part for every model — not us, not the manufacturer’s own service arm.

  • You call or request a quote. Tell us the make, model and roughly how old the machine is, plus what it is doing. Photographs of a display code or a worn part help.
  • You approve a quote for a trip and diagnostic. Nothing starts without it. A fault cannot be diagnosed down a phone line, and ordering a part off a description is how the wrong part arrives. On some jobs we offer to credit that trip charge back if you go ahead with the repair — ask us when you request the quote.
  • We get out to you, usually within 48 to 72 hours. Sooner where we already have a technician in your area on another job.
  • A technician diagnoses it on site. That visit exists to find the actual fault and identify the exact part, so it is ordered once rather than guessed at. Getting somebody out early is what shortens the whole timeline.
  • The part is ordered. OEM wherever the manufacturer still supplies it, so the machine is repaired to factory specification rather than patched. We supply and install the parts we use — we do not normally sell them on their own, because once somebody else installs it nobody can properly stand behind the repair.
  • We return, install the part and test the machine, and check the rest of it while we are there. If what we find changes the job we tell you before doing the work — an estimate is a starting point, not a fixed ceiling.

What we repair

We service commercial and residential equipment regardless of where it was bought, across 23 brands and rooms that routinely hold machines of several different ages at once.

Warranty and out-of-warranty work

Both are handled by the same crew. We are an authorized service center for a number of manufacturers, so where a machine is still covered the labor is billed to the manufacturer rather than to you — see warranty service for who that covers and how it works.

On Site Fitness Service has worked across Texas since 2007 and completed more than 30,000 service calls in over 300 Texas cities. Everything is done at your facility, so equipment never has to be transported.

Coverage and travel

We cover the whole state. Work inside the Dallas-Fort Worth, Austin, Houston and San Antonio metros carries no travel charge; outside those a travel charge applies and we tell you what it is when we quote.

See our Texas service areas, or call 800-730-5802. If the equipment works but looks finished, upholstery repair is usually the cheaper answer than replacement.

Equipment Repair FAQs

How quickly can you get out to us?

Usually within 48 to 72 hours, and sooner when we already have a technician in your area. That first visit is the trip and diagnostic — finding the actual fault and identifying the exact part — rather than the repair itself, unless it turns out to be something we can correct on the spot.

How long does a repair take from start to finish?

Figure on roughly two weeks for a typical repair that needs a part. We are usually out within 48 to 72 hours to diagnose it, parts normally arrive in 5 to 7 business days, and then you go back on the schedule for the install. Where the part is in stock locally or the fix needs no parts it is considerably quicker.

Can you fix the machine on the first visit?

Sometimes, but promising it would be misleading. Nobody in this industry stocks every part for every model, so the first visit is about identifying the exact part so it is ordered once instead of guessed at. Calling early is what actually shortens the time a machine is out of service.

Do you repair equipment you did not sell?

Yes. We service commercial and residential equipment regardless of where it came from, across 23 brands. Rooms holding machines of several different ages and makes are the normal situation rather than the exception.

How much does a repair cost?

It depends on the machine and the fault, which is why nothing starts without an approved quote for that property. Where the equipment is still under manufacturer warranty and we are an authorized servicer for that brand, the labor is billed to the manufacturer rather than to you.

Do you charge for the diagnostic visit?

Yes. A repair starts with an approved quote for a trip and diagnostic — a technician has to come out, find the actual fault and identify the exact part before anything can be ordered. That visit is what makes the rest of the job accurate, and on warranty work it is billed to the manufacturer where the brand covers it. On some jobs we also offer to credit the trip charge back if you move forward with the repair; it is not automatic, so ask when you request the quote and we will tell you whether it applies to yours.

Can we just buy the part from you and install it ourselves?

It depends on whether it needs installing. Parts that have to be installed — cables above all, plus anything routed, tensioned or torqued — we supply and install rather than sell on their own: if we install it the repair is ours and so is responsibility for it, and a part installed slightly wrong on commercial equipment does not fail quietly. Accessories that need no installation, such as bars, attachments and clip-on handles, we will sell you outright, because there is no sense charging labor to hook something on.

We already had someone diagnose it. Can you just install the part they specified?

We would rather diagnose it ourselves first, and it is not about doubting the other technician. If we work from somebody else's diagnosis and it turns out to be wrong, you have paid for a part you did not need and still have a broken machine, and nobody can properly be held responsible. Diagnosing it ourselves is how we can be accountable for the outcome.

Why can the price change after the estimate?

Because an estimate is exactly that. Two things move it: what we find once the machine is open, and what happens after a part goes in. Commercial equipment wears as a system, so replacing one worn component sometimes reveals a second fault that the first was masking. We tell you before doing extra work — the quote is a starting point, not a fixed ceiling we hide behind.

Why would you recommend replacing more than one part at once?

Because a new part is stiffer and stronger than the worn ones around it, and it transfers load onto them. A new belt on a worn deck, or a new cable running over a worn pulley, puts stress exactly where the next failure is going to happen. Replacing the related parts together is often cheaper than two visits and two call-outs a month apart.

Is repair ever trial and error?

Sometimes, and we would rather say so than pretend otherwise. Most faults are diagnosed cleanly on the first visit, but electrical and intermittent faults on older equipment can need a second look — a board and a motor can produce the same symptom. Where that happens we tell you what we have ruled out and what it costs to go further before continuing.

Do you cover facilities outside the major metros?

Yes, anywhere in Texas — we have completed service calls in more than 300 Texas cities since 2007. Inside the Dallas-Fort Worth, Austin, Houston and San Antonio metros there is no travel charge; outside those a travel charge applies and is stated in the quote.

Is it worth repairing older equipment?

Usually, because frames outlast their wear parts and upholstery by years. Where a machine has reached the point that repairs stop being worth it we will tell you rather than quoting work that will not hold — that is a more useful answer for anyone planning a budget.
