Who This Policy Covers

This policy explains what On Site Fitness Service does with information about you when you visit onsitefitnessservice.com or ask us to quote or carry out work. We are a commercial fitness equipment service company: we repair, maintain, install, move and remove exercise equipment for gyms, apartment communities, hotels, corporate facilities, municipal and public-safety facilities and private residences across Texas.

We are not a gym, a fitness program or a training provider. We do not run classes, sell memberships, or build workout or nutrition plans, and this policy should not be read as though we do.

Information We Collect

Information you give us when you request service. The service request form on our Request a Quote page is hosted by NetSuite, our business system, and collects your company name, first and last name, service address, city, state and postal code, phone number, email address, the date you would like the work done, the type of service you need, and your description of the problem.

Information you give us directly. If you call, email or text us, we keep what you send — your contact details, the property involved, the equipment involved and the substance of the conversation — so the job has a record behind it.

Service and billing records. When we quote or perform work we create records of the property, the equipment, what was found, what was done, the parts used and what was invoiced. Where a job runs through a manufacturer or extended warranty administrator, that record includes the claim details.

Technical information. Our host records ordinary web server information such as IP address, browser type, referring page and the pages requested. This is used to keep the site running and secure.

Analytics information. We use Google Analytics to see how the site is used: pages viewed, how long people stay, approximate location by city or region, device and browser, and how you reached us. This is collected through cookies and similar identifiers and is not linked to your name unless you separately send us a service request.

Information We Do Not Collect

We do not collect health or medical information, dates of birth, government identification numbers, or biometric data. We do not ask for your fitness history, injuries or physical condition, because none of that is relevant to servicing a machine. We do not operate a mobile application. We do not take card or bank details through this website; invoicing is handled separately once work is agreed.

How We Use Your Information

We use it to answer your inquiry, quote the work, schedule and carry out the visit, order the correct parts, administer warranty claims on your behalf, invoice you, keep a service history for your equipment, and follow up about work we have quoted or completed. We also use it to meet our own legal, tax and insurance obligations.

We use analytics information to understand how the site is found and used — which pages people read, which services they look for, and which sources bring them here — so we can improve it. Where we advertise, this information may also be used to measure whether an advertisement led to an inquiry, and to show our advertisements to people who have previously visited this site. We do not use it to make automated decisions about you, and we do not sell it.

Cookies and Tracking

This website uses Google Analytics. These set cookies and similar identifiers that record how you arrived at the site, which pages you viewed and whether you completed a service request. Google processes that information as described in its own privacy policy, and we do not receive your name or contact details through it.

Cookies are also set by our hosting and security provider to serve and protect the site, and by NetSuite when you use the service request form on the Request a Quote page.

How to opt out. Most browsers let you block or delete cookies through their settings, and Google publishes a browser add-on that turns off Google Analytics measurement across all sites. You can also turn off personalized advertising in your Google account settings. Blocking these cookies does not affect your ability to use this site or to request service, and we do not treat you differently for doing so.

If you are a Texas resident, the Texas Data Privacy and Security Act gives you the right to opt out of the processing of your personal data for targeted advertising. To exercise that right, contact us using the details at the end of this policy and we will action it.

Who We Share It With

We do not sell your personal information, and we do not trade or rent it.

We share it only where the work requires it: with NetSuite (Oracle), which hosts our business system and the service request form; with equipment manufacturers and warranty administrators when we are pursuing a claim or ordering a part for your machine; with subcontracted technicians or freight and rigging partners assigned to your job; and with our accountants, insurers and professional advisers. We will also disclose information where the law requires it.

Where you are a tenant, member or resident and the account is held by a property manager, association or employer, the record of the work sits with that account holder.

How Long We Keep It

Quotes, service records and invoices are kept for as long as we need them to support the equipment history, honor any workmanship commitment, and meet tax, accounting and insurance requirements. Inquiries that do not turn into work are kept for a limited period and then removed.

Security

Our business records are held in NetSuite under access controls, the website is served over HTTPS, and access to customer information is limited to the people who need it to do the work. No system is perfectly secure, and we do not claim otherwise — but we do not hold payment card data or sensitive personal data on this website.

Your Choices and Your Rights

You can ask us what we hold about you, ask us to correct it, ask for a copy, or ask us to delete it, and you can tell us to stop contacting you for marketing at any time. Write to our contact page or call 800-730-5802 and we will deal with it. We will not treat you differently for asking.

Texas residents have rights under the Texas Data Privacy and Security Act, including the right to know, correct, delete and obtain a copy of personal data, and to opt out of its sale or use for targeted advertising. We do not sell personal data and we do not use it for targeted advertising. If we ever refuse a request you may appeal it by replying to our decision, and we will respond with our reasoning.

Children

This site is aimed at facility operators and property owners, not children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has sent us information, contact us and we will remove it.
