Fitness Room Service for Property Managers

On Site Fitness Service maintains fitness rooms for property-management companies across Texas, with 102 recent orders booked this way. Preventive maintenance can be priced across your whole portfolio, with a volume discount as more properties come on. Repairs, warranty work and diagnostics stay individual, quoted for the property concerned.

What this work usually looks like

Maintenance and repair run on different tracks across a portfolio, and it is worth knowing which is which before you budget. A preventive maintenance plan can be priced across every property you bring to it, and the rate improves as more properties are enrolled — so the more of your portfolio is covered, the less each room costs to keep in service.

Repairs, warranty jobs and diagnostic visits are the other track. Each is quoted for the property it belongs to and needs that property’s approval before the work is carried out, because the fault, the parts and the budget are specific to that address. The result is one negotiated maintenance agreement across the portfolio, and a clean separate paper trail for every individual repair.

Equipment and brands we service

These rooms are usually multi-family amenity spaces: a small cardio bank, a functional trainer or selectorized unit, and free weights. Equipment ages differ between properties, which is exactly why a consistent inspection standard is worth having.

On Site Fitness Service has worked across Texas since 2007 and has completed more than 30,000 service calls in over 300 Texas cities. Our technicians are factory trained, so warranty labor is handled alongside ordinary repairs. Brands include Body Solid, Batca, SportsArt, SciFit, Icon, Echelon, Precor, Life Fitness, Matrix, Johnson Health Tech, Core Health & Fitness, StairMaster, Star Trac, Nautilus, Cybex, Technogym, Woodway, Octane, True Fitness, Hoist Fitness, FreeMotion, Inflight Fitness, Vision Fitness, Spirit Fitness and Concept2, among many others — this is a sample of the lines we see most, not the limit of what we service, so ask about anything not named here.

Preventive maintenance for property-managed portfolios

This is where portfolio scale actually pays. We price preventive maintenance across all the properties you enroll and apply a volume discount as that number grows, so a manager bringing a dozen communities pays less per room than one bringing a single site. Every property still gets its own written visit record of what was inspected, adjusted and replaced — which is what an owner or board asks for when they ask about a specific address.

  • SilverInspect decks, belts, elevation systems, cables, pulleys, pins and frames for wear; adjust belts; lubricate visible pivot points and guide rods; keypad function tests; calibrate and test every unit for safe operation. No cleaning or waxing at this level.
  • GoldEverything in Silver, plus internal cleaning and vacuuming, treadmill deck waxing and upholstery cleaning — and fuller lubrication covering elevation systems, chains, gears, bushings and seat slides.
  • PlatinumA per-machine checklist by equipment type, adding exterior cleaning — hoods, frames, covers, chrome and flywheels — plus electrical and diagnostic checks: motor brushes, amp draw, error codes and usage hours.

Why maintenance matters

Commercial fitness equipment is built to a published standard. ASTM F2276, the standard specification for fitness equipment, sets design and construction requirements for commercial machines and requires manufacturers to supply maintenance instructions alongside assembly and operating documentation. Those instructions are the baseline a maintenance plan is built on, and they are also what a manufacturer will point to if a warranty claim is questioned.

Equipment failures are not only a cost problem. The U.S. Consumer Product Safety Commission tracks emergency-department visits involving consumer products, including exercise equipment, through its National Electronic Injury Surveillance System, which is the federal source facilities and insurers reference on this subject. A frayed cable, a slipping belt or a worn deck is a safety issue before it is a repair bill.

Amenity rooms are unstaffed by definition, so the inspection record is the only evidence the room was looked after. ACSM’s Health/Fitness Facility Standards and Guidelines covers facility equipment and operating procedures and includes sample preventive maintenance schedules in its appendices, and ASTM F1749 specifies the safety signage and labels expected on equipment and in the room. When an owner, a board or an insurer asks what has been done at a particular address, a per-property maintenance record is the answer.

That is the practical case for a scheduled plan over reactive repair: it follows the manufacturer’s own maintenance schedule, it produces a written record of what was inspected and when, and it catches wear while it is still an adjustment rather than a replacement.

Property-Managed Portfolios FAQs

Can you price maintenance across all our properties?

Yes. Preventive maintenance can be quoted portfolio-wide, and we apply a volume discount as more properties are added, so the per-room cost falls as your coverage grows. Repairs, warranty work and diagnostics are quoted separately for the property concerned.

Do we get records per property?

Yes. Each property gets its own visit record of what was inspected, adjusted and replaced, which is what owners and boards usually want to see.

What if one community needs an urgent repair?

Call 800-730-5802. Urgent work is handled as a normal service call for that property and is quoted individually, since the fault and the parts are specific to that machine. Being on a maintenance plan does not change that, but it does mean we already know the room.

Can you bill each property separately while keeping one maintenance plan?

Yes, and that is exactly how it is structured. Preventive maintenance can be priced across the portfolio with a volume discount as more properties come on, while repairs, warranty work and diagnostics are quoted and billed per property against that property's own budget. Nothing is bundled that a single building has to carry.

Can you help us plan replacement rather than keep repairing old equipment?

Yes. The machine-by-machine report from each visit is the basis for that conversation — it shows which equipment is absorbing repeated repairs and which is sound. Where a machine is past the point of economical repair we will tell you, rather than quoting work that will not hold.
